Bicycle Rental Agreement & Terms and Conditions

 

1. Identification

A valid government-issued ID or passport must be presented prior to the rental.

The company reserves the right to retain a copy or record of the identification for security purposes, in compliance with applicable data protection laws.

2. Use of Bicycle

The renter agrees to use the bicycle responsibly, safely, and in full compliance with all applicable traffic laws and regulations.

The renter expressly agrees that:

  • Riding under the influence of alcohol, drugs, or any impairing substance is strictly prohibited.
  • The bicycle shall not be used for racing, competitions, stunts, or any hazardous or improper use.
  • The bicycle shall not be used by any person other than the renter without prior authorization.
  • Use of designated cycling routes is strongly recommended. Any off-road or abnormal use is entirely at the renter’s own risk.

3. Condition of Bicycle

The renter acknowledges that the bicycle has been received in good working condition.

Any existing damage must be reported prior to departure. Failure to do so constitutes acceptance of the bicycle in proper condition.

4. Security and Responsibility

The renter is fully responsible for the bicycle during the entire rental period.

The renter must:

  • Properly secure and lock the bicycle when unattended.
  • Take all reasonable measures to prevent theft, loss, or damage.

Failure to do so will result in full liability.

5. Use of Optional Equipment & Add-ons

Optional equipment provided by the company (including but not limited to helmets, baby seats, phone holders, and POV filming equipment) is available for use during the rental period, subject to availability.

The renter acknowledges and agrees that:

  • All optional equipment must be returned together with the bicycle at the end of the rental period.
  • The renter is fully responsible for the proper use, safekeeping, and condition of any provided equipment.
  • Any loss, damage, or misuse of the equipment may result in additional charges.
  • The use of optional equipment is entirely at the renter’s own risk.

The company shall not be held liable for any injury, damage, or incident arising from the use or misuse of optional equipment.

6. Deposit and Payments

A security deposit of €50 per bicycle is required prior to rental.

The company reserves the right to:

  • Withhold part or all of the deposit in case of damage, delay, or breach of these terms.
  • Charge additional amounts if the damage or loss exceeds the deposit amount.

Refunds are issued only after inspection of the bicycle.

7. Theft and Loss

In the event of theft or total loss, the renter is fully liable for the full replacement value of the bicycle and any associated equipment.

The renter must immediately notify the company and local authorities. A police report may be required.

8. Damages

The renter is responsible for any damage caused during the rental period, whether due to misuse, negligence, accident, or improper handling.

All repair or replacement costs, including labor and loss of use, may be charged to the renter.

9. Insurance and Liability

Where applicable, third-party liability coverage may be included.

However:

  • No personal accident, injury, or medical insurance is provided.
  • The renter participates entirely at their own risk.

The company shall not be held liable for:

  • Any injury or accident.
  • Any indirect, incidental, or consequential damages.

10. Use by Minors

Minors under the age of 18 may use bicycles only under the direct supervision and responsibility of a parent or legal guardian.

The parent or legal guardian:

  • Assumes full legal and financial responsibility.
  • Releases the company from any liability related to the minor.

11. Personal Belongings

The company is not responsible for any personal belongings lost, stolen, or damaged during the rental period, including items left on or attached to the bicycle.

12. Rental Period

The bicycle must be returned within the agreed rental period.

Late returns: will be charged on top €20 per day, per bicycle.

The company reserves the right to apply delay charges without prior notice.

13. Cancellation Policy

  • Cancellations made at least 24 hours prior to the scheduled rental time are eligible for a full refund.
  • Cancellations made within 24 hours or no-shows will be charged 100% of the rental amount.

The company reserves the right to cancel bookings due to weather conditions, safety concerns, or operational reasons, offering rescheduling or refund where applicable.

14. Right to Refuse Service

Melima Experiences reserves the absolute right to refuse rental to any person deemed unfit to safely operate a bicycle, including but not limited to individuals who are intoxicated or behave irresponsibly.

15. Data Protection & Privacy (GDPR)

All personal data is processed in accordance with the General Data Protection Regulation (EU) 2016/679.

Personal data is:

  • Collected solely for service provision and legal compliance.
  • Stored securely.
  • Not shared with third parties unless required by law or necessary for service delivery.

16. Governing Law

This agreement shall be governed by and interpreted in accordance with the laws of Greece.

Any disputes arising from this agreement shall be subject to the exclusive jurisdiction of the competent courts of Greece.

17. Acceptance of Terms

By completing the reservation and/or taking possession of the bicycle, the renter confirms that they:

  • Have read and understood these terms.
  • Accept full responsibility for the bicycle.
  • Agree to be legally bound by all the above terms and conditions.
